DONE VENTURES LLC

Privacy policy

Effective October 26, 2026

GovDone.com is owned and operated by Done Ventures LLC. This policy describes information handled by this website and how to contact us about it.

Information we collect

We collect information you submit in assistance requests and contact forms, including your name, email, optional phone number, selected service, household relationship, service details, and messages. We record request status, consent, and timestamps. Staff sign-in uses password hashes and an essential authentication cookie. Our hosting systems also receive IP addresses, requested URLs, browser information, and security logs.

Do not enter Social Security numbers, payment-card numbers, passport numbers, identification scans, or full birth records in general request or contact fields. If an official agency or provider needs identity verification, it must be completed through the appropriate process.

Saved profiles and detailed applications

If you create an account, we store a password hash and a recovery-code hash. Detailed applications may include birth details, addresses, government identity numbers, family details, passport photos and supporting documents you choose to upload. Detailed application payloads, reusable profiles and uploaded file contents are encrypted in storage. Order contact names and email addresses remain available in the staff queue. Authorized staff can access application information to provide the service, and staff document access is recorded. You can opt into reusable profile autofill; government identity numbers and uploaded files are not automatically copied into your reusable profile. Family notes and renewal dates are also stored when you add them.

Guest checkout and email preferences

You can fill out applications and pay without signing in. At checkout we save your receipt email and create an account if that email is new. We generate a random password, store its hash, and queue a welcome email with access credentials. Credentials awaiting email delivery are encrypted and are removed from the delivery queue after sending. Knowing an email address does not give access to an existing account or saved profile. Signing in remains optional.

Checkout includes a visible choice for GovDone newsletters and an unfinished-checkout reminder. You can turn it off without affecting payment. We store your email preference and an unsubscribe reference in our customer email list. When delivery is configured, eligible unpaid checkouts may receive one reminder after approximately one hour; completed payments, cancellations and unsubscribed contacts are excluded. Emails may be delivered by an email service provider. Each marketing email includes an unsubscribe link. Account and order communications are separate from marketing preferences.

AI assistance

When enabled, our optional field-explanation feature sends the selected question’s public label and service guidance to OpenAI. It does not send your entered application values, saved identity profile or uploaded files. We request that generated responses not be stored for later retrieval; the provider’s service and security retention policies still apply. AI explanations can be inaccurate and do not replace official instructions.

The homepage service finder uses curated service matches without sending your question to an AI provider by default. If AI matching is available and you choose it, your question is sent to OpenAI to identify relevant services. Do not include personal or application information in this public question. The finder cannot access your profile, applications or files. We do not save finder questions in our database; a hashed network identifier is used to limit abuse. We request that AI responses not be stored for later retrieval; provider service and security retention policies still apply.

How we use information

We use information to save and review requests, respond to questions, provide requested assistance, maintain records, prevent abuse, and operate the website. Submitting a contact request authorizes a response about that request; it does not subscribe you to marketing.

Payments

When enabled, payments use a Stripe payment form embedded in our checkout page. Stripe receives payment and billing information directly. GovDone stores transaction references and payment status, not your full card number. Stripe applies its own privacy policy.

Service providers and sharing

Our website and database are hosted on Hetzner infrastructure in Finland. Information may therefore be processed outside the United States. Authorized personnel and infrastructure providers may access information as needed to operate and support the service. We may disclose information when legally required or to protect people and systems.

Submitting an initial request does not automatically send it to a government agency or notary. Before a separate fulfillment step, we will explain the provider and information needed. A link to a third-party site opens a service governed by that provider's privacy policy.

Family profiles, renewal reminders and saved content

You may save reusable family details only with permission or authority to act for that person. Family profiles are encrypted in storage and belong to your account; they are not shared with another household account automatically. Each family profile has separate service drafts and uploads. Deleting a reusable profile does not delete existing order records or their documents. Renewal Watch stores the labels, expiration dates, reminder windows and notification preferences you choose. Requested reminders appear in your account and may be emailed to your account address when delivery is enabled. Pause, complete or delete a reminder, or turn its email option off, to stop future notifications. We store your Radar topic preferences, read status and saved offers. Opening a source or offer link visits a third-party site, which has its own privacy practices. Affiliate offers are labeled; we do not send your saved profile to those sites.

Cookies and tracking

We use an essential session cookie to keep saved requests private and recognize your browser. Guest cookies expire after up to 30 days. Signed-in customer sessions expire after eight hours; customers can sign in again to access account-linked applications from another device. Guest applications remain browser-linked until you sign in and link them to your account. Recovery codes allow password reset; automated email recovery is not enabled. This deployment does not include advertising pixels or cross-site behavioral advertising. We do not sell personal information or share it for cross-context behavioral advertising through this website. Do Not Track and Global Privacy Control signals do not alter essential session operation; no advertising tracking is enabled.

Retention and security

We retain requests while needed to respond, provide agreed services, resolve issues, or meet legal obligations. A cookie's expiry does not itself delete the underlying request. You can request deletion using the contact methods below. Database backups are retained on a rotating basis, so removal from active records may precede expiry from backups. We use HTTPS, access controls, and restricted database access; no system can guarantee absolute security.

Your choices and requests

You may contact us to request access, correction, or deletion, or ask about applicable privacy rights. We may verify your identity and authority before responding and may retain information where permitted or required by law. We do not discriminate against you for exercising applicable rights. Use the Privacy request topic on our contact form, call us, or write to the address below. Do not include identity documents in your initial message.

Children

The site is intended for adults. An authorized parent or guardian may request assistance concerning a child. Children under 18 should not submit requests themselves. Contact us if you believe a child has provided information without authorization.
